How to Use a Taobao Agent: A Step-by-Step Guide

The short answer
A Taobao agent buys items in China on your behalf and forwards them to you. The process is: find the listing, send the link to the agent, approve a quote, the agent purchases and receives the goods at a Chinese warehouse, you consolidate what you want into one parcel, it ships internationally, and you clear customs as the importer of record.
A buying agent — sometimes called a proxy buyer or shopping agent — exists because of a specific structural gap: Chinese domestic marketplaces will not sell to a foreign card or ship to a foreign address. The agent has the Chinese account, the domestic payment method and the warehouse, so the seller sees an ordinary domestic order and you deal with a company that speaks your language and takes your currency.
The seven steps
- Find the listing. Search Taobao, Tmall or 1688 and copy the product URL. Searching in Chinese returns far better results; the model number or the Chinese term for the item is usually enough.
- Send the links. Give the agent the URL plus the variant you want — size, colour, quantity. Ambiguity here is the single largest cause of receiving the wrong thing.
- Approve the quote. A good quote is all-in: product cost, domestic Chinese shipping, international shipping, service fee and estimated duties, in your own currency. Nothing should be purchased before you approve it.
- The agent buys and receives. The seller ships domestically to the agent’s warehouse, typically in a few days. Most agents will photograph or inspect the goods on arrival.
- Consolidate. Decide when to ship. Waiting for more items lowers the per-item shipping cost; shipping immediately is faster. This is the main cost lever you control.
- International shipping. The consolidated parcel flies to Canada, generally 7-14 days on air freight.
- Customs and delivery. The parcel is assessed on arrival and delivered by a domestic carrier. You are the importer of record for anything CBSA charges.

Mistakes that cost first-time buyers money
- Shipping one small item on its own. Per-parcel costs dominate. Wait until you have several things.
- Ignoring volumetric weight. A light but bulky item is charged on its dimensions — see the cost breakdown.
- Assuming American duty thresholds apply. They do not, for goods from China. The duties guide covers the real numbers.
- Ordering restricted goods. Power banks, liquids, food and plant products are commonly prohibited on air freight and are destroyed rather than returned.
- Judging a listing by shop rating alone. Check the transaction count and buyer photos on that specific listing.
Ask any agent how they declare goods. One that offers to under-declare value to reduce your duty is putting the legal exposure on you, since you are the importer of record — not on them.

While the goods are still in China, the agent can usually raise it with the seller and arrange a return or exchange. Once the parcel has been forwarded to Canada, returning it to a Chinese seller is rarely economic.
How do I pay a Taobao agent?+
